Position Overview
Imperra is seeking a highly organized and professional Executive Legal Secretary to support executive management and administrative operations related to legal coordination, real estate administration, and corporate correspondence.
The ideal candidate will have:
- Some form of legal, paralegal, or law office experience
- Fluent written and spoken German and English
- Strong organizational and administrative abilities
- Excellent professional writing and document formatting skills
This role requires exceptional attention to detail and the ability to prepare formal business correspondence, reports, notices, and administrative documentation to a high professional standard.
This is a fully in-office role based near Old Mill Station in Toronto’s west end. Preference will be given to candidates with a commute of approximately 45 minutes or less.

Key Responsibilities
Legal & Administrative Support
- Prepare, format, proofread, and organize:
- Formal business correspondence
- Legal notices
- Reports and presentation materials
- Corporate and administrative documentation
- Internal and external communications
- Draft and coordinate professional correspondence in English and German
- Maintain organized digital and physical filing systems
- Coordinate document execution and electronic signature workflows
- Assist with executive administration and scheduling
- Track deadlines, submissions, and administrative follow-ups
- Coordinate with lawyers, accountants, consultants, lenders, and external stakeholders
Real Estate & Transaction Coordination
Assist with administrative support related to:
- Real estate transactions
- Leasing documentation
- • Property administration
- Due diligence and reporting materials
- Organize and manage transaction-related files and correspondence
Office & Team Support
- Assist with general office administration and coordination
- Work collaboratively with management, operations, and accounting teams
- Contribute to maintaining a professional and highly organized office environment
Qualifications
Required
- Legal administration, paralegal, law office, or related professional administrative experience
- Fluent spoken and written German and English
- Strong business and professional writing ability in German
- Exceptional organizational skills and attention to detail
- Strong document formatting and proofreading abilities
- Professional and confident communication skills
- Strong proficiency with:
- Microsoft Office Suite
- Word formatting
- PDF editing
- Email and calendar management systems
Assets (Not Required)
- Real estate transaction experience
- Real estate law exposure
- Ontario real estate license
- Experience within property management or real estate environments
- Experience working with international clients or stakeholders
